Verification
The verification workflow is applied when vendors already existed in D365 but their bank account has not been verified by Eftsure or a new bank account is added to the existing vendor.
This process is described in the following cross functional flowchart:
Verification status
Verification status can be viewed in Eftsure workspace > Verifications > Legend.
Verification wizard
Verification can be triggered from different vendor related forms:
• Menu Account Payable > Vendors > All vendors form - Button Eftsure > [AVAILABLE IN EFTSURE] Verification.
Select the vendor which needs to be verified and use the Verification function in Eftsure drop-down menu from vendor master form.
• Eftsure Workspace> Vendors > Not verified yet / New supplier - Button Eftsure > [AVAILABLE IN EFTSURE]Verification.
Select the vendor which needs to be verified and use the Verification function in Eftsure drop-down menu.
It is possible to send multiple Verification requests at the same time by selecting several Vendors prior to clicking Verification.
In that scenario, the wizard won't open, and multiple emails will be sent using the default Verification email template.
• Menu Account Payable > Vendors > All vendors form > Bank Accounts - Button Eftsure > [AVAILABLE IN EFTSURE] Verification.
Select the Vendor Bank Account which needs to be verified and use the Verification function in Eftsure drop-down menu.
When creating new bank account manually, the Eftsure verification status appears as Not verified yet when the Bank Account is saved and if the bank account is not in Eftsure database.
New Verification
When selecting the Verification function, a dialog box opens with all the Bank Account details to be verified. The Vendor email and contact details can be edited.
Any details update in this form will NOT be updated in the Vendor master file. If any auto-populated info is not correct, the user will need to follow change request process to update the details on the Vendor master file.
The User also has an option to select pending invoice and date for selected vendor.
Click Send verification.
After 24h, the verification link will be expired, and the verification
status will be changed to Awaiting Verification.
Recommendation: Wait for the vendor to respond to the
verification request or use the Email feature in Eftsure menu to
send a reminder directly to vendors within 24h.
Alternatively, wait for Eftsure verification to start after 24h.
Accept Verification
Once Send verification is selected, the Verification status of the vendor will change to Pending.
For more details on verification statuses, please refer to the legend and notes highlighted in Eftsure workspace > Verifications.
Once either the vendor or Eftsure verification team verified the bank account details, the Verification status will change to Accepted accordingly.
Awaiting customer assistance
Verifications associated to the status Customer assistance requires further assistance from the customer to verify the vendor bank account details due to multiple reasons including:
Vendor declines to participate, missing contact information, invalid contact details provided or seeking for alternative contact method as Eftsure is unable to reach the vendors after 3 attempts within 3 days.
Users should review Customer Assistance Reason and Retry Verification with additional details as per Eftsure verification team's request.
The verification status will be changed to Awaiting Verification.
Alternatively, Cancel the verification and manually send a new verification with updated phone number.
